2. Notice of Privacy Practices — how we use and share protected health information if you apply for or receive ABA services (HIPAA)

This page is information for families. It is not legal advice.
Website Privacy Policy
Who we are
Traina Behavioral (legally Traina Behavioral Consulting LLC) is a privately owned ABA practice in Langhorne, Pennsylvania.

This Website Privacy Policy applies to www.trainabehavioral.com and related Traina landing pages (including pages such as `/aba-langhorne/` and `/where-do-you-start/`).
It does not replace the Notice of Privacy Practices below. Clinical records, applications, insurance cards, and session notes are covered by that notice and by the forms families sign at intake.
Two kinds of information
Website and marketing information. If you request a guide, ask for a consultation, call, or email, we collect contact details and the information you choose to share so we can respond. That is what this Website Privacy Policy describes.
Health information for care. If you send our admission application (usually by email or fax), upload evaluations or insurance cards, or become a client, that information is protected health information. The Notice of Privacy Practices governs it. Session notes live in our clinical systems and in the Motivity Caregiver Portal — not in website analytics.
Information we collect on the website
Information you give us
On some pages we ask you to fill out a form. Depending on the page, that may include:
- First name
- Email address
- Phone number
- County
- Child’s age range (not a full date of birth on marketing forms)
- Insurance plan name (for example, “Independence Blue Cross”) — not a member ID on marketing forms
- Optional notes about what you are seeing or the kind of help you need
- Your agreement to be contacted about ABA services
If you call, email, fax, or message us on Facebook or Instagram, we also have whatever you send that way.
If you inquire about a job, we may receive the information you submit through our site or through Indeed.
Information collected automatically
When you visit, our site and advertising tools may collect:
- IP address and approximate location
- Browser and device type
- Pages you view and how you arrived (including referring website)
- Date and time of the visit
- Campaign tags in the URL (`utm_source`, `utm_medium`, `utm_campaign`)
- Google Ads click ID (`gclid`), if you came from an ad
Applications are not the website form
Our full ABA application is still returned by email or fax to the office. That packet can include names, dates of birth, diagnoses, medications, insurance member numbers, policy-holder details, cards, and evaluations. We treat that as health information under the Notice of Privacy Practices. Do not send Social Security numbers or insurance cards through a marketing form on this website.
How we use website and marketing information
We use it to:
- Respond to your inquiry and follow up about ABA services
- Send a requested guide or other educational material
- Confirm we can reach you by email or phone, if you asked us to
- Understand which pages and ads help families find us
- Improve the website
- Review job inquiries
We do not sell or rent your personal information.
Cookies, analytics, and ads
We use cookies and similar tools so the site works, so we can see which pages are used, and so we can measure advertising.
On our landing pages we currently use:
- Google Analytics 4 (measurement ID `G-B491X469S2`) for page views and site use
- Google Ads (conversion ID `AW-699338727`) to understand whether an ad led to a form submission or a call
Those tools may set cookies or use advertising identifiers. Google may receive information about your visit as described in Google’s privacy policy.
You can limit analytics and ads tracking in your browser, through Google Analytics opt-out, and through Google Ads settings. Blocking cookies may affect how the site works.
We do not currently run a Facebook advertising pixel on these pages. If we add other tracking later, we will update this policy.
Who we share website information with
We share website and marketing information only as needed to run the practice and the site:
- Our website host (Network Solutions / WordPress)
- Google (Workspace email, form storage in a spreadsheet, Analytics, and Ads)
- Growth Experts, our marketing agency, which may receive lead-form notifications so they can help us run ads and the website
- Service providers who host email, phone answering, or similar tools, under our direction
We may also share information if the law requires it, or to protect someone’s safety.
Insurance companies, schools, Motivity, and our billing partners receive health information as described in the Notice of Privacy Practices — not as a marketing list.
How long we keep it
We keep marketing inquiries as long as we need them to follow up and to run the practice, then delete or archive them.
Clinical records are kept for four years after services end, then disposed of as described in the Notice of Privacy Practices.
Your choices
- You can ask us not to send marketing email. Reply “stop” or email info@trainabehavioral.com.
- Form checkboxes that say we may contact you include phone and text. Message and data rates may apply. You can tell us to stop calling or texting for marketing at any time.
- You can request access to, or deletion of, marketing records we hold from a website form by emailing info@trainabehavioral.com. Requests about clinical records follow the Notice of Privacy Practices.
Children
This website is for parents, guardians, and professionals. It is not directed at children under 13. When a form asks about a child, a parent or guardian is the one submitting it.
Video at the Langhorne center
If you visit or receive services at our center, we use video-only monitoring in therapy rooms and other designated areas for safety and quality. We do not record audio. Cameras are not placed in restrooms or staff break rooms. Access to footage is limited to authorized administrative staff. Families in care also consent to this in the informed-consent paperwork they sign.
Photos and marketing
We do not use identifiable photos or videos of children for our website, social media, or brochures unless a caregiver has signed a separate photo/video authorization. When families do authorize photos, those files are stored on Traina’s HIPAA-compliant Google Drive — not on personal phones.
Security
We use reasonable administrative, technical, and physical safeguards. No website or email system is perfectly secure. Please do not send insurance cards, Social Security numbers, or full evaluations through a marketing form.
Changes
We may update this Website Privacy Policy. The “Last updated” date at the top will change when we do. The posted version is the current one.

Notice of Privacy Practices

THIS NOTICE DESCRIBES HOW PERSONAL HEALTH INFORMATION ABOUT YOU MAY BE USED AND DISCLOSED AND HOW YOU CAN GET ACCESS TO THIS INFORMATION. PLEASE REVIEW IT CAREFULLY.
We respect patient confidentiality and only release personal health information about you in accordance with State and federal law. This notice describes our policies related to the use of the records of your care generated by Traina Behavioral Consulting, LLC.

Use and disclosure of protected health information
In order to effectively provide you care, there are times when we will need to share your personal health information with others beyond Traina Behavioral Consulting, LLC. This includes:
Treatment. With your permission we may use or disclose personal health information about you to provide, coordinate, or manage your care or any related services, including sharing information with others outside Traina Behavioral Consulting, LLC that we are consulting with or referring you to.
Payment. Information will be used to obtain payment for the treatment and services provided. This will include contacting your health insurance company for prior approval of planned treatment or for billing purposes.
Healthcare operations. We may use information about you to coordinate our business activities. This may include setting up your appointments, reviewing your care, and training staff.
Information disclosed without your consent
Under State and federal law, information about you may be disclosed without your consent in the following circumstances:
Emergencies. Sufficient information may be shared to address the immediate emergency you are facing.
Follow-up appointments / care. We will be contacting you to remind you of future appointments or information about treatment alternatives or other health-related benefits and services that may be of interest to you.
As required by law. This would include situations where we have a subpoena, court order, or are mandated to provide public health information, such as communicable diseases or suspected abuse and neglect such as child abuse, elder abuse, or institutional abuse.
Coroners, funeral directors. We may disclose personal health information to a coroner or personal health examiner and funeral directors for the purposes of carrying out their duties.
Governmental requirements. We may disclose information to a health oversight agency for activities authorized by law, such as audits, investigations, inspections, and licensure. There also might be a need to share information with the Food and Drug Administration related to adverse events or product defects. We are also required to share information, if requested, with the Department of Health and Human Services to determine our compliance with federal laws related to health care.
Criminal activity or danger to others. If a crime is committed on our premises or against our personnel we may share information with law enforcement to apprehend the criminal. We also have the right to involve law enforcement and to warn any potential victims when we believe an immediate danger may exist to someone, or if we believe you present a danger to yourself.
Patient rights
You have the following rights under State and federal law:
Copy of record. You are entitled to inspect the personal health record Traina Behavioral Consulting, LLC has generated about you. We may charge you a reasonable fee for copying and mailing your record. Records are kept for 4 years after the end of services and then they are denatured/disposed of in compliance with all Federal and State patient privacy laws.
Release of records. You may consent in writing to release of your records to others, for any purpose you choose. This could include your attorney, employer, or others who you wish to have knowledge of your care. You may revoke this consent at any time, but only to the extent no action has been taken in reliance on your prior authorization.
Restriction on record. You may ask us not to use or disclose part of the personal health information. This request must be in writing to Traina Behavioral Consulting, LLC. Traina Behavioral Consulting, LLC is not required to agree to your request if we believe it is in your best interest to permit use and disclosure of the information. The request should be given to the Director, who will consult with the staff involved in your care to determine if the request can be granted.
Contacting you. You may request that we send information to another address or by alternative means. We will honor such a request as long as it is reasonable and we are assured it is correct. We have a right to verify that the payment information you are providing is correct.
Amending record. If you believe that something in your record is incorrect or incomplete, you may request we amend it. To do this, contact the Director and ask for the Request to Amend Health Information form. In certain cases, we may deny your request. If we deny your request for an amendment you have a right to file a statement that you disagree with us. We will then file our response, and your statement and our response will be added to your record.
Accounting for disclosures. You may request a listing of any disclosures we have made related to your personal health information, except for information we used for treatment, payment, or health care operations purposes or that we shared with you or your family, or information that you gave us specific consent to release. It also excludes information we were required to release. To receive information regarding disclosures made, please submit your request in writing to our Privacy Officer. We will notify you of the cost involved in preparing this list.
Questions and complaints. If you have any questions or have any complaints you may contact our Privacy Officer in writing at our office. You also may complain to the Secretary of Health and Human Services if you believe Traina Behavioral Consulting, LLC has violated your privacy rights. We will not retaliate against you for filing a complaint.
Changes in policy. Traina Behavioral Consulting, LLC reserves the right to change its Privacy Policy based on the needs of the practice and changes in State and federal law.
